Job Description

COORDINATES WITH: Front Office, Nurse Team, Lab, X-Ray, Purchasing, Accounting Depts…

Responsible of all administrative and clerical transactions related to the management of the Clinic store, but also related purchasing needs. Sees to it that all records and reports of Clinic store are in order and updated through the use of printed & online documentations (include daily online transactions of material/consumables input and output, delivery receipts etc…)

  • File handling of store management 
  • Encode data in the financial system 
  • Handle all receiving & issuing goods, materials, consumables to relevant departments of the Clinic
  • Clinic Fixed Assets management 
  • Checking, inputing, filing of all documents of materials/goods receive note to each Cost Center
  • Daily and periodically (monthly/yearly) check & reconcile the balance of inventory for equipment & consumables, including variance investigation in coordination with each Cost Center
  • Coordinate with purchasing to define and ensure optimal & minimum stock level
  • Control stock level to minimize stock holding cost but also meet service requirements without disruption
  • Control the movement of stock to minimizing slow moving & dormant stock level as well as recommend how utilizing it in coordination with the Head of each relevant department (such as Purchasing/Admin Manager, Head Nurse, Front Office or Clinic Manager, Lab, X-Ray etc...)
  • Ensure good delivery and/or on-time release of equipment & consumables
  • Establish inventory procedures and ensure compliance with company policy
  • Prepare store weekly or monthly reports
  • Maintain Store in order and related filing/database system
  • Other Admin tasks not directly related to Inventory as a coordination support for the Admin/Purchasing Manager & Clinic Manager

SPECIFIC ACCOUNTABILITY

  • Ensure on-time (daily) update of information in Accounting software so that all input and output of consumables are properly and accurately monitored and stock level accurately up-to-date

Job Requirements

  • About 1-year experience as Inventory Accountant, Inventory Controller or any related position
  • College graduate in Accounting, Business Management, Cost Control or related field
  • Proficient in Excel (+ Word and else)
  • Experience with FAST software is a plus
  • Strong analytical skills, focused on details
  • MUST BE A TEAM PLAYER with good interpersonal skills 
  • Good organization and time management skills
  • Own and resolve issues and understand how and when to escalate
  • Proficient in English
  • Work from Monday to Saturday (possible ½ Saturday)
