Job Description

1. Clinic Operations & Workforce Management

  • Manage the day-to-day operations of the clinic to ensure safe, efficient, and high-quality service delivery.

  • Participate in setting up and launching new clinics, including team building and establishing operational processes aligned with the family clinic model.

  • Organize, assign, and coordinate daily tasks across clinic functions to ensure adequate staffing and smooth operations.

  • Develop workforce plans based on patient volume, service demand, and clinic operating needs.

  • Prepare and manage staff schedules to ensure adequate coverage throughout clinic operating hours.

  • Work closely with HR on recruitment, onboarding, and training of clinic employees.

  • Develop training plans and ensure employees receive the necessary knowledge and skills to deliver professional customer service.

  • Establish performance indicators and KPIs for clinic employees and conduct regular monthly performance reviews.

  • Identify performance gaps and implement appropriate improvement plans when required.

  • Ensure employees comply with clinic policies, regulations, service standards, and operational procedures.

2. Workflow & Facility Management

  • Manage the customer journey from appointment booking, registration, consultation, payment, and follow-up care.

  • Organize and optimize patient flow to minimize congestion and waiting time.

  • Ensure patients receive clear and timely guidance throughout the clinic visit.

  • Ensure all required documents, forms, and information are completed accurately throughout the service process.

  • Ensure patient information is accurately and completely updated in the system.

  • Coordinate closely with the medical team to ensure a smooth and seamless patient experience.

  • Manage and coordinate home healthcare services, including service requests, staff allocation, scheduling, and service follow-up.

  • Ensure all required staff, medication, medical supplies, equipment, and other resources are properly prepared before home care services are delivered.

  • Coordinate resources between clinic-based services and home care services to ensure efficient service delivery.

  • Identify operational gaps and bottlenecks and proactively propose process improvement solutions.

  • Benchmark and apply appropriate best practices from leading family clinic and home healthcare models.

  • Ensure all working areas, equipment, and facilities are clean, safe, and in good working condition.

  • Coordinate with cleaning, security, maintenance, and administration teams to maintain facility standards.

  • Report equipment maintenance, repair, replacement, or additional resource requirements to management in a timely manner.

  • Monitor patient volume and clinic capacity and proactively adjust staffing and resources to optimize operational efficiency.

3. Customer Care & Patient Experience

  • Ensure patients receive professional, friendly, and consistent service throughout their entire healthcare journey.

  • Maintain high standards of communication and customer service at every point of interaction.

  • Proactively guide and support patients throughout registration, consultation, payment, and other clinic services.

  • Communicate timely updates to patients regarding changes to appointments, doctors, services, or procedures.

  • Receive, handle, and resolve customer feedback, inquiries, and complaints professionally and promptly.

  • Monitor service issues and proactively develop solutions to improve patient experience.

  • Build long-term relationships with individual patients and families, particularly those requiring regular and ongoing healthcare services.

  • Work closely with Sales, Marketing, and relevant departments to implement customer care and retention initiatives.

  • Ensure strict confidentiality of all patient personal and medical information.

  • Lead regular clinic operational meetings with key team members to review performance, address issues, and continuously improve service quality.

4. Business Performance & Service Development

  • Ensure the clinic achieves assigned revenue and operational performance targets.

  • Monitor key indicators including revenue, patient volume, patient retention, repeat visits, and additional service utilization.

  • Work closely with Sales and Marketing teams to acquire new patients and increase service utilization among existing patients.

  • Identify changing healthcare needs of patients and recommend appropriate services aligned with the family clinic model.

  • Support the development and enhancement of home healthcare services to meet patients' ongoing and at-home care needs.

  • Monitor the performance of individual service lines and recommend initiatives to improve revenue, service quality, and operational efficiency.

  • Ensure all required documentation, billing records, and payment procedures are completed accurately and in accordance with company policies.

  • Build long-term patient relationships and promote a proactive, continuous, and comprehensive healthcare model for individuals and families.

5. Cross-functional Coordination

  • Work closely with doctors, nurses, laboratory, pharmacy, home care, and other relevant teams to ensure smooth clinic operations.

  • Build effective working relationships with doctors, nursing leaders, clinic coordinators, and other key stakeholders across the organization.

  • Partner with HR on recruitment, training, performance evaluation, and employee development.

  • Coordinate with Finance, Procurement, Administration, IT, and other support functions to ensure effective clinic operations.

  • Act as a key coordination point between departments to ensure patients receive a seamless, consistent, and efficient service experience.

6. Leadership & Team Development

  • Provide leadership, coaching, and guidance to the clinic team.

  • Build a professional, positive, and patient-centered working environment.

  • Assign responsibilities, monitor team performance, and ensure employees fulfill their duties effectively.

  • Coach and train employees on customer service, operational procedures, patient experience, and problem-solving.

  • Proactively identify and address issues related to staffing, performance, and service quality.

  • Demonstrate strong decision-making and problem-solving skills in daily clinic operations.

  • Ensure the entire team consistently follows clinic procedures, service standards, and organizational direction.

  • Foster a patient- and family-centered culture, with patient safety, satisfaction, and experience as the top priorities.

Job Requirements

  • At least 3 years of experience in Management, preferably in Healthcare Industry (Clinics/Hospitals)
  • Experience in setting up and operating new clinics
  • Ability to recruit, train, and make decisions regarding personnel
  • Good at English (Must)
  • Effective communication, ability to consult with multiple people, build relationships, group work, presentations and know how to change management;
  • Strong taste for challenges – strong ability to work under pressure;
  • Strong leadership & interpersonal skills;
  • Demonstrated commitment to Customer Service, Sales, Health & Safety;
  • Ability to manage multiple complex projects
  • Professional, integrity and well-organized
  • Has many outstanding personal skills;
  • Ability to work independently as well as in a team
  • Outgoing personality and self-motivated
  • Comprehensive knowledge to the local laws and regulations (Labor law, Health and Safety regulations etc..);
  • Reasonable decisions and problem-solving skills, including the ability to analyse and understand the financial impacts of the relevant choices;
  • English fluency is an advantage
  • Familiar with MS Office, management software, Internet, Email
